Send contracts for e-signature

Create contracts with the built-in document editor or an uploaded PDF, place signature fields, and send legally binding e-signature requests with full audit trails.

Contracts let you send documents for legally binding electronic signature — write them in the built-in editor or upload a PDF, drop signature and form fields onto the pages, and email each signer a secure signing link. Every view, signature, and decline is recorded in an audit trail with timestamp and IP address.

Opening Contracts

Click Business in the sidebar, then open the Contracts tab. (Quotes, Invoices, and Contracts are tabs on the Business page — there is no separate “Contracts” sidebar item.)

The list page shows stat cards (All contracts, Out for signature, Completed, Drafts), a search box, and status filters (All / Drafts / In progress / Completed).

Standard operating procedure: create and send a contract

1. Create the contract

Click + New Contract. A draft is created immediately and the editor opens. Name it using the title field in the header.

2. Build the document

You have two document sources (switch in the right sidebar):

  • Built-in editor (default) — compose with blocks: Heading, Subheading, Paragraph, Bullet list, Divider, and Spacer. Use the {{ }} merge field button to personalize:

  • Upload PDF — PDF files only, up to 20 MB.

Note: if you edit the built-in document after placing fields, all field positions are cleared and must be placed again.

3. Add recipients

On the Recipients step, add each person with their full name, email, and role: Needs to sign or Receives a copy. You can pull people straight from your CRM with the Search contacts picker. Toggle Signing order on if signers must sign one at a time in sequence.

4. Place fields

On the Fields step, choose which signer you’re placing fields for, then click on the document to place: signature, initials, date signed (auto-filled), date (signer picks), text, and checkbox fields. Each field can be labeled and marked required. Every signer needs at least one signature field before you can send.

5. Send for signature

Click Send for signature. Add an optional personal message and an optional expiration date, then click Send. Each signer gets an email with a secure signing link (sequential signing sends them one at a time, in order).

What the signer sees

The signing link opens a standalone page — no login needed. The signer reviews the document, completes the highlighted fields (a signature pad opens for signature/initials), checks the legal consent box, and clicks Finish & sign. They can also Decline with an optional reason. Signatures are recorded with timestamp, IP address, and approximate location.

When all parties have signed, everyone is emailed a certified copy automatically.

Tracking and follow-up

Once sent, the contract page shows each recipient’s status (Waiting, Viewed, Signed with date and IP, Declined) and a full Activity audit trail. From here or the list’s menu you can:

  • Copy signing link for any unsigned signer
  • Send reminder emails
  • Download signed PDF and Email signed copy (completed contracts)
  • Duplicate, Void (permanently disables all signing links — cannot be undone), or Delete

Contract statuses: Draft → Sent → Viewed → Partially signed → Completed, plus Declined and Voided.

Templates

To reuse a contract, open it and choose ⋮ → Save as template — the document, fields, and recipient roles are saved (emails are not). Start from a template via the Templates tab → Use template.

Prerequisites and limits

  • Contracts must be enabled for the sub-account (ask your agency admin if the tab is missing).
  • Delivery is by email — every recipient needs a valid, unique email address.
  • Uploads are PDF-only, 20 MB max.
  • Voiding is irreversible; deleting a sent contract also disables its signing links.
